These booking terms and conditions mentioned here establish a legally binding contract between Ace Hiking Pvt. Ltd and you (Client) for our services. Please read our terms and conditions carefully prior to booking a trip with us.
1. Booking Trips: You can process a booking via our official website https://acehiking.com, our third-party websites, email us at nepal@acehiking.com or Call / Whatsapp / Viber us at +977-9843338340.
1.1. Our trips cost are in USD. If you are booking the trip in other acceptable currency in Nepal, then Nepal’s Central Bank same day exchange rate is applicable for converting your currency into USD.
1.2. Any products, itineraries that are listed in our official website that you may buy / purchase from us will be referred as a ‘Trip’. These will include Treks, Tours, Expeditions and other adventure and tourism related activities.
1.3. You are required to make 20% deposit of the total trip cost at the time of booking. The 20% deposit is Nonrefundable. The remaining 80% of the total trip cost upon arrival in Kathmandu.
1.4. Deposits for booking can be made by Bank Transfer, Credit Card or Western Union money transfer.
1.5. Our Trips are based on twin-sharing accommodation. If you request a single-room than additional charge will be imposed.
2. Last Minute Booking: We accept the last minute booking 5 days prior to the trip departure date, only if we have space available for the trip and then full payment is required.

4. Credit Card Payment: We accept Visa, MasterCard, American Express Card, and additional 3.5% will be charged for a card processing/ transaction fee. We are not liable for card processing/ transaction fee and is not included at the cost of the trip.
5. Cancellation and Refund Policy: To cancel your trip, please send us a valid cancellations written notice via email and can be applied with the following terms and conditions:
5.1. 15 Days or less: No refunds will be made, 100% of trip cost is forfeited.
5.2. 16 Days to 30 days: 50% refund will be made, 50% will be forfeited. You agree that you will use the refunded amount for reschedule a trip or transfer to another person.
5.3. 31 Days or more: 80% refund will be made, 20% will be forfeited. You agree that you will use the refunded amount for reschedule a trip or transfer to another person.
5.4. If a trip is cancelled because of a natural disaster, political unrest, airport closure or other unpredictable events beyond our control we will reschedule the trip dates. If you are unable to reschedule, our regular cancellation policy applies.
6. Incomplete Trip: If you voluntarily leave a trip for any reason after your trip has begun, no refund will be made for any meals, accommodation, transportation, sightseeing or any services not used.
7. Passport and Visas: You must carry a valid passport and have obtained the appropriate visas with validity for 6 months beyond the trip. A Nepalese visa can be obtained from the Nepalese Diplomatic Missions in your country or Visa on Arrival at many Immigration Offices including Tribhuvan International Airport, Kathmandu. Nepalese visa costs are the sole responsibility of clients. For more details, please read this link about Nepalese Tourist Visa. The online form will be valid for 15 days; you will get a form receipt in your email, print it and show it to immigration authority.
8. Risk and Liabilities: All trips are conducted by following the rules and regulations of Nepal Tourism Board. Ace Hiking Pvt. Ltd will not be responsible for changes in itineraries and programs due to changes in government rules, government restriction and local rules.
8.1. Ace Hiking Pvt. Ltd cannot be held responsible for flights delay/cancellation, bad weather, accident, road blockage, natural disasters (landslide, snowfall, flood, avalanche, thunder, earthquake etc) and any other things beyond our control.
8.2. Hiking in Himalayas is one of the most adventurous activities which carry the risk of Acute Mountain Sickness, injuries, or even death. Ace Hiking Pvt. Ltd is always concerns on safety first for all travelers. We give great effort to reduce or control the risk and hazard, but sometimes nature’s curse is beyond our control and Ace Hiking Pvt. Ltd is not responsible for it.
8.3. Ace Hiking Pvt. Ltd does not accept liability for any loss or damage to any luggage and property but we will always handle with great care while in our possession, such as when carried by porters, yaks, and horses.
9. Travel Insurance: Having Travel Insurance is compulsory for all clients while traveling with us. The travel insurance must cover flight delays, personal injury, death, medical expenses, repatriation expenses, helicopter rescue, air ambulance, natural disasters, trip cancellations, theft of luggage, loss of gear and equipment etc. Clients must send us their insurance documents before trip.
9.1. Ace Hiking Pvt. Ltd has insurance for all our employees: Tour Guides, Trekking guides, Climbing Guides, Cooks, Assistants, Sherpa, Porters and drivers.
9.2. Insurance Disclaimer*: Considering the guests’ safety, Ace Hiking Pvt. Ltd reserves the rights to make emergency evacuations in urgency without approval from your insurance provider. Thus, Ace Hiking Pvt. Ltd shall not be held liable in any effect for any expenses incurred to conduct the evacuation for the guest’s safety.
10. Children: A legal guardian/parent must accompany the participant below the age of sixteen.
11. Publicity: You agree that Ace Hiking Pvt. Ltd may use pictures and videos of you taken during the trip without any compensation to you, for publicity and promotion purposes in either printing or in digital media.
12. Complaints: You may complain about the trip as soon as possible to Ace Hiking Pvt. Ltd, so that s/he may take appropriate actions to resolve it. Your satisfaction is our first priority.
13. Applicable Law: Ace Hiking Pvt. Ltd office is located in Kathmandu, Nepal. These terms and conditions are governed by the laws of Nepal. Any dispute arising out of these terms and conditions shall be resolved exclusively by the District Court, High Court, and Supreme Court located in Kathmandu, Nepal. There is no case in a foreign country, and the parties agree that the court of Nepal is the appropriate forum for any claim or proceeding commenced in relation to these terms and conditions.
